Privacy policy
This policy explains what personal information ideasolved.com collects, why, who we share it with, where it is stored and how to exercise your rights. We wrote it to match what the site actually does.
Last updated:
1.Who we are and what this covers
IdeaSolved is an applied AI and software engineering studio headquartered in Richmond, British Columbia (“IdeaSolved”, “we”, “us”). This policy covers personal information collected through our website, ideasolved.com.
It does not cover data our clients entrust to us during an engagement. That is governed by the contract with each client and, as a rule, stays in the client’s own cloud environment.
We follow the Personal Information Protection and Electronic Documents Act (PIPEDA), British Columbia’s Personal Information Protection Act where it applies, and, for Québec residents, the Act respecting the protection of personal information in the private sector as amended by Law 25.
2.Information we collect
We collect only what you choose to send us, plus the technical minimum needed to run and protect the site.
Please don’t enter sensitive information (health, personal finances, identification numbers) or other people’s personal information into our forms or the AI blueprint.
3.How we use it
- To answer your inquiries and prepare a first conversation.
- To send the newsletter, if you subscribed.
- To generate and display your AI blueprint.
- To triage incoming inquiries with AI (see the next section).
- To prevent abuse and protect the site and the AI tool.
- To understand which needs come up most and improve the site and the blueprint.
- To measure site traffic, if you allowed analytics cookies.
We do not sell or rent your personal information or use it for advertising. We will not use it for purposes other than those described here without telling you and, where the law requires it, asking for your consent.
4.Processing by artificial intelligence
Two features of the site use AI models, accessed through Vercel AI Gateway:
- The AI blueprint. Your messages and the conversation history are sent to a Google Gemini model to produce replies and the plan. If that model is unavailable, the request may be routed to another Gemini model or to an OpenAI model.
- Inquiry triage. When you submit the contact form, your name, company, selected services, message, the page and your language are sent to a Google Gemini model, which writes a short summary, a fit and urgency assessment and a draft reply for our team. Your email address is not sent to the model.
These providers process the content to return a response, under the commercial terms of their APIs. Processing may take place outside Canada.
No decision about you is made solely by automated processing. A person on our team reads every inquiry and decides what happens next.
5.Consent
By submitting a form or using the AI blueprint, you consent to the collection and use of your information for the purposes in this policy. The technical processing needed to deliver and protect the site relies on your implied consent when you visit it.
Analytics cookies are the exception: they are off by default and are turned on only if you click “Allow” in the cookie banner. Declining has no effect on how you can use the site. You can change your choice at any time with the “Cookie settings” link at the bottom of every page.
You can withdraw your consent at any time by writing to privacy@ideasolved.com. Withdrawal is not retroactive, and it may prevent us from answering a pending request.
6.Service providers and where data is stored
We use the following providers. Each receives only what its service needs.
Transfers outside Canada and Québec
This means your information is stored and processed outside Canada, mainly in the United States. While there, it is subject to the laws of those countries and may be accessible to courts, law enforcement and national security authorities.
For information about Québec residents, before communicating it outside Québec we assess whether it would receive adequate protection, including in light of generally recognized principles of personal information protection, and we govern the transfer with written agreements with our providers.
8.How long we keep it
We keep information only as long as the purposes require. These are the periods we apply:
At the end of these periods, the information is destroyed or irreversibly anonymized.
9.Security
Traffic to the site is encrypted (HTTPS), the database is encrypted at rest by our provider, and access is limited to the people on our team who need it. We store a salted hash of the IP address rather than the address itself. No method of transmission or storage is perfectly secure, but we use safeguards suited to the sensitivity of the information. How we secure client systems is described on our trust and security page.
If a confidentiality incident occurs, we record it, take steps to reduce the risk of harm and, where the law requires it, notify the people affected and the relevant regulators.
10.Your rights
Depending on the law that applies to you, you can:
- access the personal information we hold about you, and learn how it is used and to whom it has been disclosed;
- have inaccurate, incomplete or ambiguous information corrected;
- withdraw your consent and ask us to delete your information;
- for Québec residents: receive your computerized information in a structured, commonly used technological format or have it transferred to a person you designate, and ask us to stop disseminating it or to de-index it in the cases set out in the law;
- be told what information was used to make a decision based solely on automated processing, if one is ever made.
To exercise these rights, write to privacy@ideasolved.com. We will respond within 30 days. We may need to verify your identity before acting on a request. There is no charge.
If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca), the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca) or, if you live in Québec, the Commission d’accès à l’information (cai.gouv.qc.ca).
11.Children
Our site is meant for businesses. It is not directed to people under 16, and we do not knowingly collect information about them.
12.Changes to this policy
We may update this policy when the site or our practices change. The date of the latest update is shown at the top of the page. If a material change affects information we have already collected, we will say so clearly on this page and ask for your consent where the law requires it.
13.Person responsible for privacy
Our privacy officer is responsible for this policy. For any question, request or complaint:
